Cutting Your eBay Cancellation Rate to Near Zero as a Dropshipper

Cancellation rate is the single biggest lever a dropshipper has over their eBay account health, because almost every dropshipping cancellation traces back to one of two causes: the source item went out of stock, or its price moved enough to break your margin.

The two real causes

  1. Out-of-stock at the source. Your eBay listing sells; by the time you go to fulfill, Amazon shows the item unavailable.
  2. Price drift. The source price rose enough between listing and sale that fulfilling would mean a loss.

Why polling interval matters more than people think

If you check source stock and price once a day, you're exposed to any change that happens in the other 23 hours — and popular items go out of stock faster than that. Shortening the check interval, especially on high-velocity listings, is the single highest-leverage change most dropshippers can make.

What to do when you do catch a problem

Pausing a listing the moment its source goes out of stock (rather than leaving it live and hoping) prevents the sale from ever happening in the first place — which is strictly better than catching it after the sale and having to cancel. A cancellation after sale always counts against your defect rate; a listing that was already paused never gets the chance to sell and never counts against anything.

This is the core of what Synked's monitoring layer does: adaptive-interval stock and price checks tuned tighter on your best-selling items, auto-pause on out-of-stock, and a repricer that keeps margin intact as source prices move — so cancellations become the exception instead of routine.
